Senior Accountant will act as a controller in the dealership and support business to run as per policies and guidelines issued by the management. The role will be reporting to Finance Business Partner (FBP). The position will be responsible for both Toyota and Lexus (Showroom & Workshop) as below:

Financial Performance Review & Commercial Support to Branch Management

1. Perform regular Branch level (Sales & Aftersales) Financial reviews and variance analysis with FBP /Branch Management for all responsible branches and thus ensuring that branch performance is in line with relevant budgets/Forecasts.

2. Support FBP / Branch Management in review of KPI trends (Sales & Aftersales), prepare reports/analysis for monthly Branch reviews to be held with Director Retail & BUFM.

3. Regularly monitor and control Branch indirect costs (Facility Maintenance, casual labours, utilities, data processing, stationery, cafeteria etc.)

4. Support FBP / Branch Management in synergizing process and costs between sales, aftersales and other brands within the same site

5. Validate CAPEX cost requirements at branches and ensuring that these are within budgeted levels.

6. Support in monitoring Opex & Capex.

7. Monitor clearance of Open POs and follow up with the concerned team

8. Assist in preparing financial and business reports, dashboards, and presentations.

9. Collect, clean, and validate data from various sources to ensure accuracy and completeness.

10. Support budgeting, forecasting, and variance analysis activities.

11. Conduct research on industry trends, competitors, and internal performance to generate insights.

12. Prepare reconciliations, track KPIs, and highlight variances or discrepancies.

13. Collaborate with different departments (Finance, Operations, Sales, HR) to gather and analyze data.

14. Assist in system uploads (ERP/BI tools) and maintain structured records.

15. Support process improvement initiatives and documentation of SOPs.

16. Provide ad-hoc analysis to managers and senior analysts as required.

Sales Accounting and Cash control

1. Perform financial transactions and process invoices in a timely manner.

2. Oversee via the Branch Accountants to ensure all documentation is complete as per company procedures for all Finance / Cash / Credit / Inter and Intra company deals for Sales & Aftersales to ensure all payments are met.

3. Ensure the release of VCC, Sales letter, Gate passes (Sales & Aftersales) are in line with company procedures.

4. Validation of Sales document pack /LPO and credit approval or clear funds/ registration copy and delivery to ensure process compliance.

5. Substantiates of all in house AFM sales & credit customers.

6. Ensure that refunds are processed by branch within the sub-delegated authority with proper documentation and those beyond Branch authority are processed through Central Finance (FSSC). Maintain log for tracking purposes.

7. Monitoring Petty clash float for ensuring adequate balance and verifying reimbursements / claims for submission.

8. Perform Surprise Cash Count as per SOP. Reviewing all petty cash payments, test checking daily collections and deposits to ensure compliance.

9. Liaise with Central Finance (FSSC) and other departments to ensure that all intercompany transactions, upsell recoveries, pricing differences, etc. are regularly reconciled and kept on track.

10. Maintain proper record keeping of all financial operations for easy retrieval.

Stock, Insurance & WIP controls

1. Ensure Stock controllers adhere to standard documentation and procedures about stock movements and best practices followed on stock management of on-site stocks including Demo/display/Damaged stock.

2. Ensure adequate insurance coverage is in place for dealership stock, cash, assets and other components at all times.

3. Review periodical physical inventory (Units and Parts) and reconciliation to ensure physical stocks match with the system stocks.

4. Participate in and support the smooth conduct of Annual stock counts (Units and Parts)

 

Accounts Receivables Management (AR Management)

1. Ensure timely submission of Finance deal packs (Sales) & credit invoices (Aftersales) to customers and, follow up with concerned channels for early collection of all outstanding/overdue invoices.

2. Review with Sales team (sales & aftersales) on overdue and collection on regular basis and provide status report to Branch Management, FBP and BUFM.

3. Maintain list for all credit facilities provided to branch credit customers including credit limit / credit period / main contact details / credit facility documents if possible

 

Policy, Procedures and Internal Audit recommendations

1. All business processes are conducted according to SOP and with correct levels of sign authority.

2. Ensuring that all Finance SOPs are adhered to by the branch and adequate advice is provided in compliance matters (INDs, DNIs export sales etc.)

3. Continuous review of existing policy and procedures and recommend improvements to strengthen internal control.

4. Facilitate Group internal audit review of branch operations and ensure timely implementation of audit recommendations

 

Leadership

1. To support FBP in supervising the finance team of all responsible Branches (Sales & Aftersales).

2. To provide appropriate trainings to the Branch Finance team from time to time.

3. To support & guide Managers, Sales team and Sales Admin on business process. Ensure that all finance related processes are conducted in compliance with AFM policies & procedures (SOPs).

 

Ad hoc tasks & Projects

1. To carry out Ad Hoc tasks/reports as defined by the FBP / FM / Branch Management.

2. Involve into Projects representing various business areas as and when required.
