Overview Of The Role:
The role of the PRO is pivotal in ensuring efficient and compliant Government Relations support for the company. This involves managing immigration, residency, and regulatory transactions with government authorities, thereby guaranteeing both timely processing of employee-related services and strict adherence to laws and regulations. Additionally, the role encompasses the maintenance of accurate documentation, effective communication between the company and external government entities, and supporting business continuity. Success in this role is measured by the accuracy and timeliness of service delivery, the fidelity of records maintained, and positive feedback from stakeholders.
What You Will Do:
- Process and submit all types of employment and residency visa applications to the Royal Oman Police Directorate General of Passport & Residence.
- Submit manual visa applications and supporting documents where required.
- Follow up on delayed visa applications and provide status updates.
- Submit requests for amendments and corrections to employee immigration records.
- Coordinate directly with immigration officers to obtain approvals and resolve application-related issues.
- Submit requests for cancellation of exit/departure records for foreign employees outside Oman.
- Liaise with Muscat International Airport authorities regarding visa cancellations and immigration-related matters.
- Ensure compliance with immigration regulations and company requirements.
- Process first-time resident card registrations.
- Handle residency card renewals and replacements.
- Submit and collect residency cards from the relevant authorities.
- Process corrections and updates to employee personal information.
- Amend employee profession and occupation details.
- Monitor and follow up on all residency-related applications.
- Deliver and follow up on official correspondence with the Ministry of Labour and other government entities.
- Submit applications, requests, and supporting documents to relevant authorities.
- Process and follow up on transactions with municipalities and regulatory authorities.
- Visit government departments to obtain information, collect documents, and resolve administrative matters.
- Maintain effective relationships with government officials and stakeholders.
- Submit employee medical examination forms to relevant authorities and medical centres.
- Collect completed medical reports and ensure proper documentation.
- Assist employees with government-related documentation and procedural requirements.
- Collect official mail and correspondence from Oman Post.
- Deliver outgoing correspondence to government and external entities.
- Receive, distribute, and track incoming and outgoing documents.
- Maintain organized records and filing of official correspondence and government documents.
- Process vehicle registration renewals and related documentation.
- Coordinate with relevant authorities to ensure compliance with licensing requirements.
- Prepare and submit periodic status reports on all Government Relations transactions, including visas, residency cards, and labour approvals.
- Maintain accurate records and trackers for all pending, completed, and overdue transactions.
- Escalate critical issues, delays, and compliance risks to management in a timely manner.
- Provide regular updates to stakeholders on government-related applications and requests.
- Provide administrative support to the Government Relations team.
- Assist colleagues with operational and government-related requirements.
- Support office operations and departmental activities.
- Perform additional Government Relations and administrative duties as assigned.
Required Skills To Be Successful:
- Strong knowledge of Omani immigration, visa, residency, and labour procedures.
- Proficiency in using relevant government portals and e-services (e.g., ROP, MOL, and other government platforms).
- Excellent communication, coordination, and follow-up skills.
- Fluency in Arabic and English (spoken and written).
What Qualifies You For The Role:
- Diploma or Bachelor's degree in Business Administration, Public Administration, Public Relations or a related field.
- 2-3 years of experience in Government Relations, Public Relations (PRO), Immigration Services, or a similar administrative role.
- Practical experience with the Royal Oman Police, Ministry of Labour, Civil Status Department, municipalities, and other government authorities.
- Good knowledge of Oman Labour Law, immigration and residency procedures, and government regulations applicable to employment.
