Overview Of The Role:
- The Central Operations Executive serves as a pivotal operational coordinator for store management across Asia retail operations. This role handles daily tasks including stock management, store processes, inventory counts, reporting, and procurement, acting as the primary liaison between stores and the regional office. The position ensures communication of weekly business updates and facilitates efficient task execution while standardizing procedures to enhance productivity and store support effectiveness.
What You Will Do:
Customer Service & Communication
- Develop and maintain relationships with internal and external stakeholders to ensure smooth operations.
- Maintain communication channels to broadcast business updates and drive actions for improvement.
- Prepare daily, weekly, and monthly reports for prompt submission.
- Coordinate with Buying and Logistics for accurate stock maintenance.
- Respond timely to queries from customers and stores via email, support office, audit queries, contact centre, or other platforms.
- Action customer and corporate orders, stock consolidations, inventory, and staff uniforms based on business requirements.
- Support the digital team in processing online orders.
- Ensure timely completion of store vendor payments aligned with local regulations.
- Collaborate with Facility Managers and vendors on annual maintenance contracts and agreed timelines.
- Conduct store visits to ensure adherence to standard operating procedures.
Cost Management
- Engage in strategic and tactical operations planning, including promotional analysis and KPI tracking.
- Conduct bi-annual reviews on underutilised store assets for reclassification, asset return, creation, write-off, and transfer processes.
- Monitor and control the budget and operational costs across all stores.
- Support shrinkage action plans within stores.
- Monitor store consumables and maintenance per operating budget, achieving maximum cost-benefit outcomes.
ERP Systems & Standards
- Manage ERP/SAP transactions to maintain system integrity and exceed store service level expectations.
- Raise store requests through the Ariba portal and act as a single point of contact.
- Ensure up-to-date retail system records in coordination with IT.
- Build and deliver automated reports using Tableau or equivalent tools.
- Manage database updates for online devices such as SATO printers, Pathfinder guns, and Zebra devices.
- Enforce procedures for stock and system accuracy and profit protection.
- Facilitate vendor creation and extension processes.
- Maintain consistent standards across stores through a unified filing system.
Business Growth Support
- Support IT integration and development initiatives for new store projects, ensuring compliance and brand requirements.
- Work on new business initiatives to drive store efficiency and productivity.
- Provide training for store teams on new system implementations, projects, and processes.

What Qualifies You For The Role:
- Bachelor's degree in Business Administration, Retail Management, or related field preferred.
- Minimum of 3-5 years of retail experience in an operational or administrative executive role.
- Proven track record in multi-site retail operations and experience across multiple markets.
- Expertise in SAP ERP and POS systems, and proficient in Microsoft Excel, Ariba, and Tableau.
