Overview Of The Role:

  • The Tenant Relations Executive is responsible for fostering positive tenant relationships and ensuring efficient operations within the mall. This role includes managing work permits, coordinating with tenants on mall procedures, facilitating tenant engagement in marketing activities, and ensuring compliance with operational standards. The executive will also oversee various aspects of tenant communications, inspections, and administrative support, contributing to the overall reputation and smooth operation of the Arabian Center.

What You Will Do:

Work Permit Management


  • Approve work permits related to maintenance, display, and merchandising inside shops.
  • Follow up with tenants and Operations Team to close open work permits.
  • Daily dispatch of approved work permits before close of business hours.
  • Ensure NOC are sent to all retailers upon request.

Tenant Relations


  • Correspond with tenants regarding mall events, timings, operational policies, and compliance.
  • Support outstanding tenant payments and follow-ups.
  • Conduct pre-opening meetings for new retailers and exit procedures for closing retailers in coordination with leasing.
  • Engage tenants in marketing programs and mall events.
  • Conduct weekly and spot inspections with tenants to ensure industry best practices.
  • Conduct back of house inspections with security and Ops to prevent hazards.

Reporting and Coordination


  • Submit monthly reports such as sales, OCR, performance, and sales vs footfall analyses.
  • Prepare and submit sales budgeting and forecasts.
  • Stay in regular communication with tenants via newsletters, memos, and meetings.
  • Follow up with tenants to submit audited sales in coordination with finance.
  • Maintain up-to-date compliance documents and tenant data.
  • Identify and support bottom-performing retailers with action plans in coordination with Marketing.

Financial and Administrative Support


  • Support FM & Finance departments on outstanding payments like AMC, AR, and utility bills.
  • Facilitate tenant exit processes and pre-opening processes linking various departments.
  • Ensure tenant compliance and performance reports are submitted timely.
  • Arrange meetings with tenants to maintain strong relationships.
  • Update tenant performance trackers and support low-performing tenants.
  • Manage and escalate nonroutine job requests for timely resolution.

Inspection and Administration


  • Conduct weekly inspections with HSE officer, Security Team, and Operations to ensure policy adherence.
  • Conduct weekly inspections for F&B outlets and biweekly inspections for other stores.
  • Issue and manage job requests for tenants as needed, ensuring prompt approval of routine requests.

  • Strong organizational and time management abilities.
  • Proficiency in handling administrative tasks and reports.
  • Ability to conduct inspections and enforce compliance efficiently.

What Qualifies You For The Role:

  • Graduation in any degree.
  • Fluency in English.
  • 3-5 years of relevant experience in coordination and follow-ups, preferably in a shopping center.
  • Skills in internal and external coordination.
