Overview of the role

The Registration Specialist provides executive technical and administrative support for Al Futtaim Beauty and Fashions-related brands in a proactive manner and with minimal supervision. The primary focus of this role is registering all beauty and non-beauty products with the related regulatory authorities of specific GCC regions and ensuring total compliance as per the law of the trading land in terms of registrations and product labelling.

Product registration, Compliance requirements, Documentations, Invoice validations and any other roles handed over by the department head.

 

What you will do

  • Cross-functional coordination to obtain a full list of ordered lines for each season/new launch.   
  • Review & advise brand principles on various documentation requirements for each region and share UAE HS codes as requested.
  • Coordinate with the brand principal regulatory team to ensure all relevant documentation is received by all regions well in advance of the season/range launch.
  • Timely product registrations and labelling compliance with relevant regulatory authorities as follows:
    • UAE: Dubai Municipality – Montaji
    • UAE: Federal Authority – MOIAT
    • KSA – SFDA
    • KSA – SASO Saber
    • Kuwait – Ministry of Health
    • Bahrain - Ministry of Health
    • Egypt – Egyptian Drug Authority
  • Involves sample coordination and submissions.
  • Continuous follow-up & tracking of each of the regions on their individual registration status on a line-level basis.
  • Coordinate with related certification bodies for the issuance of shipment certificates required for exports to the GCC region.
  • Coordinate shipment inspections and product testing
  • Coordinate with translator/agency to get all lines translated to Arabic in a timely manner and monitor live level translation done & time incurred.
  • Ensure the product files are updated and related data is transmitted to ensure Arabic labels are available at the warehouse level for placement on products upon shipment delivery to the warehouse.
  • Update & follow up with warehouse to ensure Arabic stickers are printed for all shipments where required and VAS activities are completed within the agreed lead time.
  • Ensure all registration documents are for processing each & every shipment to each region.
  • Ensure no shipments are held up due to registration issues.
  • Maintain & manage clear communication & tracking documents for all regional registration processes.
  • Weekly update on registration for all regions to be communicated to the management.
  • Establish & streamline the registration process within the business so that the flow of data & tasks between each location is seamless. (brands, stores, warehouse)
  • Invoice conciliation, approval, and submission to the finance department for payment processing.
  • Ensure payments for function-specific activities are paid on time and within the agreed credit terms

Minimum Qualifications and Knowledge

Education: Diploma or equivalent qualification

Minimum Experience

At least two years of experience in a similar role.

Knowledge in the Fashion and Beauty registration process for the region
