Overview Of The Role:

  • The Receptionist / Secretary is responsible for managing the front office operations effectively and efficiently. This role involves screening and handling incoming calls, greeting visitors, and directing them appropriately. The purpose is to maintain a well-organized reception area and support the office with secretarial and clerical tasks, ensuring smooth operations. The role also includes managing the bookings and maintenance of conference rooms and supporting the scheduling needs of the country manager.

What You Will Do:

General


  • Answer telephone systems to screen calls, transfer calls, respond to inquiries, and take messages.
  • Receive and distribute items such as courier packages, messages, letters, and faxes to the concerned staff member, ensuring confirmation of receipt.
  • Greet individuals entering the office and direct them to the appropriate location or person.
  • Maintain the reception area and keep materials tidy at all times.
  • Perform general secretarial and clerical functions including scheduling, copying, faxing, data entry, and filing to support office operations.
  • Manage conference room bookings and ensure their maintenance.
  • Perform other related duties as assigned to ensure the efficient and effective functioning of the office.
  • Schedule individual or group appointments and meetings for the country manager with clients.


Required Skills To Be Successful:

  • Excellent verbal and written communication skills.
  • Proficiency in MS Office applications.
  • Ability to speak Arabic and English fluently.
  • Strong organizational and multitasking abilities.

What Qualifies You For The Role:

  • Graduate in any discipline.
  • Minimum 3 years of experience as a receptionist or secretary in any large-sized companies in the Middle East.
  • Excellent MS Office knowledge and skills.
  • Proficiency in spoken Arabic and English is mandatory.
