Job Title:                           Administrator – Planning

Reports to:                       Senior Planning Manager

Department:                    Project Management

Location:                           AFGRE DFC, Dubai UAE

 

JOB PURPOSE

To lead the setting up and management of the Electronic Document Management System (EDMS) to Bentley’s ProjectWise Construction Management including project set-up and workflow building.

 

KEY ACCOUNTABILITIES

  • Be the lead administrator of the EDMS system and provide training to new users on using the EDMS system.
  • Document control, document archiving, document imaging and maintenance of document register during pre-construction and post construction stage.
  • Ensure proper document classification, sorting, filing and proper archiving. Review completeness of documentation (Template, Document and page numbering, issue / revision identification, document number and classification, short signatures for originator, checkers and approved by etc.) and prepare document transmittals.
  • Take the lead to sort, bind, package, organize, administer, transmit, receive design and project documents as requested, consisting of drawings, specifications, contracts, scopes of work, calculations, data sheets, O&M manuals, Material Requisitions, Vendor documents, reports, electronic files etc. internally or to external stakeholders
  • Perform document quality check in accordance with document control procedures and perform file backup to ensure proper storage and archiving of electronic registers 
  • Maintain/Update document logs from all Project parties. Provide overdue pending document reports to follow-up with stakeholders and ensuring confidentiality of the project information at all times.
  • Responsible for enhancement of project transmittal flow during construction stage.

 

QUALIFICATIONS, EXPERIENCE & SKILLS

Minimum Qualifications and Knowledge: Degree in any discipline

 

Minimum Experience: Minimum of 4-5 years of previous related experience, construction background preferred
