Overview Of The Role:
The HSSE Compliance Officer is responsible for conducting inspections and audits to identify potential risks and hazards, ensuring the highest standards of health, safety, and security across Al-Futtaim locations. The role involves implementing administrative systems for effective data management, ensuring compliance with local regulations, and enhancing department effectiveness through event participation and consistent feedback. Success in this role requires a proactive approach to audit and inspection processes, timely reporting and resolution of issues, maintaining confidentiality, administration, and support functions. This role is vital in upholding safety and security protocols and contributing to a culture of continuous improvement in HSSE standards.
What You Will Do:
- Conduct HSSE inspections and audits to identify potential HSSE risks and hazards within Al-Futtaim businesses.
- Participate in inspections across all business units as requested by the Line Manager.
- Prepare detailed inspection and audit reports with constructive feedback and recommendations.
- Regularly update HSSE inspection and audit report formats to ensure effectiveness.
- Analyze HSSE data to identify trends and areas for improvement.
- Track and document all HSSE inspections conducted.
- Follow up on pending action plans with various business units.
- Review and submit all audit, inspection, incident, and investigation reports within the given timeframe.
- Provide monthly and weekly HSSE progress reports to the Line Manager, summarizing all department reports and activities.
- Submit monthly report by the 2nd of each month.
- Pursue any outstanding matters highlighted in reports until resolved.
- Stay up to date with latest HSSE regulations, industry standards, and best practices.
- Ensure supporting documents related to new regulations are maintained and communicated promptly to the Head of HSSE.
- Manage the collection and documentation of incident reports, ensuring proper recording, investigation, and reporting.
- Review daily reports summary for major incidents and maintain trackers.
- Ensure all incidents are reported to the Line Manager and Head of HSSE within 24 hours of occurrence.
- Carry out responsibilities at various events to support different business units.
- Adhere to instructions provided by the Head of Group HSSE during event participation.
- Implement a document control system and maintain a database for applicable HSSE projects and activities.
- Support in organizing internal and external meetings, sending reminders for inspection calendar, and tasks.
- Review all Group HSSE documents, alerts, forms, policies, and reports.
- Prepare and review monthly and yearly reports, presentations, minutes of meetings, and communication documents.
- Maintain daily records of lift access card data and forms.
- Handle procurement requests through ARIBA.
- Liaise with UAE Civil Defense on safety certificates, Dubai Police on cases, CCTV approvals, SIRA approval, and other smart monitoring systems.
- Assume responsibilities of HSSE officers/managers during their absence.
- Maintain confidentiality of sensitive information related to security, safety, and environmental matters.
- Adhere to the company's Code of Conduct & Ethics policy.
- Report on duty on time, based on scheduled start time at 08:00 am.
- Comply with Head of HSSE instructions, HSSE policies, procedures, and guidelines.
- Notify line manager immediately in case of late reporting.
- Attend regular department and service provider meetings.
- Document minutes and follow up on matters pertaining to service providers.
- Ensure all payments are processed after obtaining necessary approvals.
- Maintain trackers for all payments and handle petty cash requests.
- Safeguard company credit card and ensure PIN is changed when necessary.
- Process requests through government portals for various certificates including Civil Defense Safety Certificate, fire alarm monitoring subscriptions, and others promptly.
Required Skills To Be Successful:
- Thorough knowledge of HSSE regulations and industry standards.
- Excellent report writing and communication skills.
- Strong attention to detail and ability to manage multiple tasks.
- Proficiency in data analysis and management tools (e.g., Excel, HSSE software).
What Qualifies You For The Role:
- Bachelor's degree in Health and Safety, Environmental Science, or related field.
- Minimum of 3 years experience in HSSE compliance or related role.
- Certification in HSSE management or related area preferred.
- Strong analytical skills and ability to interpret data to identify trends.
