JOB PURPOSE:

Arabic speaking. Confident and enthusiastic with dealing with people – Principals, Customers, visitors etc. Ensure that front desk reception is attended at all times. Support the co receptionist, other Admin  Assistants and associates in the office. Answer all telephone calls based on the standard telephone handling procedure. Incharge of the reception area and all meeting room areas.

 

KEY ACCOUNTABILITIES: Specify the output required from the job. Identify not more than 7 Key Accountabilities & their performance indicators. NB-Focus on outcomes not tasks

 

Provide excellent customer service. Ensure that front desk reception is always attended and accurate tracking for all visitors are in place.

Dealing with ‘drop in’ customers quickly and efficiently prior to handing over to Customer care centre.

Ensure the incoming and outgoing calls are attended on time and in line with standard telephone handling process. The board to be manned at all times during 08:00 to 17:00. Closely to work with co receptionist.

Manage entry of all guests, visitors’ into the office blocks through close monitoring. Assisting all external and Internal Group staff by guiding them to the right division within Al Futtaim Toyota. Manage all meeting rooms in the AFM building

Monitor stationeries and pantry supplies and ensure HO requirements are met on time. Ensure dispatching of all couriers for inbound and outbound.

Management of the Goshi cars related to AF Toyota HO

 

QUALIFICATIONS, EXPERIENCE, & SKILLS:

Minimum Qualifications and Knowledge: Degree/Diploma in Arts/ Commerce/Business Administration.

 

Minimum Experience: 2-3 years working experience in the reception /greeter and office administration

 

Job-Specific Skills: Fluent in written and spoken Arabic/English. Proficient in MS Office and administration skills.

 

Behavioural Competencies: Strong interpersonal, organizational and advanced telephone skills. Excellent communication, Organizing,
