Overview of the role:

Support the Document Control function by managing electronic document management systems (EDMS), SharePoint, and digital document workflows to ensure the effective control, tracking, and governance of project documentation. The role is responsible for maintaining document accuracy, supporting document lifecycle management, and ensuring compliance with document control procedures and approved electronic platforms. The position plays a key role in enhancing document governance, improving workflow efficiency, ensuring audit readiness, and supporting the continuous improvement of digital document management processes.

What you will do:

  • Lead document control activities across projects, ensuring the effective management of documents through approved EDMS and SharePoint platforms.
  • Maintain document numbering, metadata, revision control, distribution processes, and document lifecycle governance in line with company standards.
  • Manage and maintain structured document repositories, ensuring document accuracy, integrity, accessibility, and version control.
  • Support digital document workflows by testing, validating, and optimizing Power Automate, Power Apps, and other document management solutions.
  • Monitor document registers, audit trails, and reporting dashboards to identify risks, gaps, and non-compliance, escalating issues where required.
  • Coordinate with project teams, stakeholders, and IT to resolve document control and system-related issues while ensuring seamless document workflows.
  • Provide guidance and support to Document Controllers and end users on document control procedures, systems, and best practices.
  • Prepare regular reports, dashboards, and performance metrics to support management visibility, audit readiness, and continuous improvement initiatives.

Required Skills to be successful:

  • 4+ years of experience in Document Control within construction, real estate, infrastructure, engineering, or project-based environments, including 4+ years of hands-on experience using Electronic Document Management Systems (EDMS) such as SharePoint, PMWeb, ProjectWise, Aconex, Asite, or equivalent platforms.
  • Strong understanding of document control principles, including document lifecycle management, metadata, revision control, document numbering, transmittals, registers, and controlled distribution.
  • Experience managing SharePoint document libraries, version control, metadata, access permissions, and digital document workflows.
  • Practical experience with Microsoft Power Platform, particularly Power Automate and Power Apps, to support workflow improvements, testing, and system enhancements.
  • Strong reporting, data management, and analytical skills, with experience preparing document control reports, audit records, dashboards, and register reconciliations.
  • Proven ability to guide Document Controllers, coordinate with cross-functional stakeholders, and ensure compliance with document governance standards.
  • Excellent communication, organizational, problem-solving, and stakeholder management skills, with the ability to manage multiple priorities.

What equips you for the role:

  • Bachelor's degree in Computer Science, Information Systems, Information Management, Business Information Technology, Engineering, or a related discipline.
  • Strong knowledge of EDMS platforms, digital document workflows, and document governance best practices.
  • Working knowledge of ISO 9001:2015 documented information requirements. Familiarity with ISO 19650 is considered an advantage.
  • Excellent command of English. Arabic proficiency is preferred.
  • High attention to detail, strong ownership, analytical thinking, and a continuous improvement mindset.
  • Ability to work under pressure while maintaining compliance, accuracy, and effective stakeholder collaboration.
