Overview Of The Role:
- The Leasing Administrator plays a pivotal role in executing the tactics of the Lease Administration strategy to meet overall objectives. This role demands accurate paperwork completion for tenants, updating data into Yardi, and managing real estate-related legal documents. Success requires familiarity with leasing procedures, legal documentation, and effective teamwork. The administrator supports the Leasing Admin team with drafting correspondence, reporting, and maintaining office inventory, ensuring compliance with local real estate practices while fostering communication within the team.
What You Will Do:
Legal Documentation and Management
- Arrange necessary leasing documents, including booking forms, deposit receipts, and tenant information sheets.
- Prepare lease agreements and contracts as per approved formats for higher management signature.
- Collect payments, issue receipts, and dispatch tenant's executed copies.
- File tenant documents according to property and unit number, ensuring accurate record-keeping.
- Manage legal contracts database and trackers in Yardi real estate software.
- Perform real estate due diligence, including lease reviews and familiarity with trade licenses, commercial registry, and POA.
Asset/Property Management
- Assist the Leasing Admin team in drafting correspondence and documentation for lease agreements that need renewal or re-gearing.
- Take ownership of a limited number of leases to be processed and executed based on volume.
- Maintain effective collaboration with AFGRE departments to ensure all retail units comply with governmental procedures and laws.
Reporting and Administration
- Prepare progress reports on weekly, monthly, and annual basis, including tenancy schedules and rent concession sheets.
- Maintain and update Brand Profile Log, managing communication with prospective tenants regarding shop applications.
- Assist in updating tracking sheets, preparing presentations, and managing inventory of office supplies.
- Support in hard and soft filing for Retail & Commercial Portfolios and other administrative tasks as set by the Lease Admin Manager.
- Ensure all lease contract information is accurately recorded in Yardi system.
Financial Data Entry
- Responsible for data entry and maintenance of records in collaboration with relevant departments.
- Upload executed leases and maintain updates in Yardi for Cairo Festival City regionally.
- Communicate regularly with Al Futtaim EIT to resolve technical issues efficiently.
Required Skills To Be Successful:
- Proficiency in Yardi real estate software.
- Strong organizational and record-keeping skills.
- Ability to perform thorough real estate due diligence.
- Excellent communication and collaboration skills with cross-functional teams.
What Qualifies You For The Role:
- Degree or equivalent level of education is preferred but not mandatory.
- 1-2 years of experience as a Leasing, Paralegal, or Administration professional.
- Sound knowledge of leasing procedures and practices in the local market.
- Excellent written and spoken English and Arabic communication skills.
- Proficiency in hard and soft filing systems.
