Overview of the role:
The Admin Supervisor is responsible for overseeing end-to-end office management, ensuring a seamless and professional guest experience at the reception, and maintaining adequate stock and cost-efficient procurement of office consumables. The role also includes managing the telecom account for all employees-tracking usage, processing monthly payments, and handling the full lifecycle of mobile devices (issuance for new hires, replacements, and recovery post-separation). In addition, the Admin Executive supports administrative payments through SAP and Ariba, maintains accurate financial records, and ensures operational efficiency across all administrative touchpoints.
What you will do:
Office Management:
- Ensure the workspace is well-maintained, organized, and supports productivity.
- Coordinate office maintenance, cleaning services, and facility repairs.
- Maintain records of contractual agreements and office service contracts.
Reception & Guest Experience
- Oversee reception operations and ensure a professional front-desk experience.
- Manage visitor protocols, logging, and hospitality arrangements.
Consumables & Office Supplies Management
- Track inventory, usage, and procurement of office consumables and stationery.
- Ensure timely restocking and cost-effective purchasing.
Telecom Account Management
- Manage telecom lines, mobile devices, and consumption for all employees.
- Coordinate issuance, exchange, and collection of mobile devices during onboarding/offboarding.
- Process monthly telecom bill payments and ensure accuracy.
Administrative Payments & Vendor Coordination
- Manage vendor contracts for admin expenses.
- Process payments via SAP & Ariba with full documentation.
- Track admin budgets and expenditures.
Asset Lifecycle Management (Mobile Devices) & Onboarding/Offboarding Support
- Maintain logs of company assets issued to employees (mobiles, access cards, etc.).
- Ensure smooth onboarding and exit processes for admin-related items.
Required Skills to be successful:
Minimum 3-5 years of experience in office administration, telecom coordination, or facilities management.
What equips you for the role:
- Bachelor’s degree in business administration, Management, or related field.
- Proficient in MS Office, SAP, Ariba, and other administrative systems.
- Strong understanding of procurement cycles, telecom operations, asset lifecycle management, and vendor coordination.
- Proficiency in English and Arabic (spoken and written) is preferred.
