Job description
The Admin Assistant will be responsible for managing administrative tasks, supporting staff enrollment processes, and assisting with day-to-day office operations.
What you will do:
- AFF ENROLLMENT & MEDICAL INSURANCE:
- Manage the enrollment process for new employees, ensuring timely activation of medical insurance for the staff and their dependents
- CASH JOINING ADVANCE:
- Apply for cash joining advances for new staff and ensure proper documentation
- BUSINESS CARD ARRANGEMENT:
- Coordinate the preparation of business cards for new employees
- EMAIL CREATION:
- Set up email accounts for new staff members
- OFFICE SUPPLIES MANAGEMENT:
- Handle the purchasing of office stationery and pantry items to ensure the office runs smoothly
- CERTIFICATE PREPARATION:
- Prepare certificates including salary certificates and transfer salary certificates as needed
- EQUIPMENT ORDERING:
- Order and manage the procurement of copier machines, office phones (including iPhones), and other necessary equipment
- TELECOMMUNICATIONS ACCOUNTS MANAGEMENT:
- Generate and manage office Etisalat accounts at both the Head Office and Branch locations, ensuring all payments are cleared
- TELEPHONE INSTALLATION:
- Coordinate telephone installations for new staff and handle related inquiries
- RECEPTION SUPPORT:
- Answer phone calls, transfer calls to appropriate departments, and manage reception duties when required
- EMPLOYEE DOCUMENTATION:
- Prepare the Know Your Employee (KYE) documentation for new hires, ensuring compliance with internal policies
What equips you for the role:
- High school diploma or equivalent; additional qualifications in office administration or a related field is a plus
- Proven experience in administrative roles, preferably in a similar capacity
- Reasonable understanding of Facilities Management & General Admin
Required skills to be successful:
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent communication skills and analytical skills
- Strong multitasking abilities and attention to detail. Strong organizational and time-management skills
