Overview Of The Role:

  • The Buying Coordinator is responsible for timely and accurate coordination of buying administration, including the preparation and maintenance of reports and records related to vehicle purchasing and stock movements. This role supports the Buying Manager and buying team by ensuring all buying and stock reports are up to date and that vehicle acquisition activities are well-coordinated. Success in this role depends on effective multitasking, meticulous attention to detail, and the ability to maintain organized documentation and ensure compliance with company policies.

What You Will Do:

General


  • Prepare, update, and maintain daily, weekly, and monthly buying reports, stock reports, and management trackers ensuring completeness and timeliness.
  • Create and update vehicle purchase, costing, mileage, location, status, and stock information in SAP and other systems for accurate records.
  • Coordinate stock transfer orders and vehicle movement between various locations, following up on cleaning, servicing, and preparation status.
  • Maintain organized records, protect confidential information, and escalate exceptions such as missing approvals or process variances.
  • Support the Buying Manager and team with the administration of vehicle acquisition activities ensuring alignment with procedures.
  • Ensure all documentation and system records are accurate and compliant with approved procedures.


Required Skills To Be Successful:

  • Proven coordination and organizational skills with the ability to manage multiple tasks and priorities.
  • Competence in using Microsoft Word, Excel, and Outlook, with a strong advantage for SAP knowledge.
  • Strong attention to detail with the ability to analyze and reconcile data effectively.
  • Excellent communication and interpersonal skills to collaborate within teams and with external partners.

What Qualifies You For The Role:

  • Minimum of 3 years of proven work experience in a buying or purchase coordinator role or similar.
  • Competency in Microsoft applications including Word, Excel, and Outlook, with knowledge in SAP as an advantage.
  • Proactive, hardworking, and motivated with strong attention to detail and the ability to multitask and prioritize tasks effectively.
  • Good communication and interpersonal skills.
